Role Purpose

  • To ensure necessary safeguards and processes are in place so information collection and use is aligned with applicable legislation and is protected from threats and loss.
  • To work in partnership with colleagues and third parties to adopt best practice and innovative use of digital systems to increase productivity, efficiency, and resilience.
  • To provide a single point of contact for IT consultancy and support, referring to third parties as applicable.


Duties and Responsibilities

  • Manage the lifecycle of IT and Data Protection policies, ensuring they are updated with organisational, legislative, and technological change.
  • Manage the organisations’ digital strategy, ensuring systems, infrastructure, and technical knowledge aligns and supports the corporate objectives.
  • Investigate and remediate security alerts and data protection incidents.
  • Identify, recommend, and implement changes to IT infrastructure.
  • Prepare regular and ad-hoc reports/updates for stakeholders on Data Protection and technology adoption/utilisation.
  • Develop the IT Disaster recovery plan, and work with stakeholders to minimise or eliminate risk and points of failure.
  • Manage the Information Governance Management System (IGMS) – DPOrganizer, ensuring that records are accurate and operating practices adhere to relevant legislation (UK-GDPR, EU-GDPR, and others). This includes:
    • Maintaining Information Asset Registers
    • Preparing and reviewing Legitimate Interest Assessments
    • Undertaking Privacy Impact Assessments
    • Preparing information and systems Risk Assessments
  • Respond to, and track progress of, Data Subject Access requests.
  • Embed Data Protection as a consideration during process creation or change across the organisation.
  • Lead the organisations’ security accreditation process.
  • Provide advice and guidance on cyber security and protection to colleagues.
  • Manage relationships with third parties, including service providers and suppliers.
  • Assist with the onboarding of new employees.
  • Assist with the implementation, management, and procedure creation for new digital systems.
  • Identify new systems to reduce manual processes and mitigate risks; help in evaluating and recommending ‘out-of-the-box’ solutions; and work with colleagues to implement and roll-out new systems.
  • Provide staff training on new and existing systems, data protection and digital best practice.
  • Provide ad-hoc IT support and consultation as required.

 

General Duties

  • Stay up to date on changes internally and externally which affect the role and duties.
  • Any other reasonable requests by colleagues.
  • Ensure documentation and processes are kept up to date and centrally recorded for business resilience/continuity.
